Scope of this policy

This policy belongs to Vectis Works, which makes dashboards for the shop floor, along with data systems and software, for manufacturing businesses. Our office is at 100 Powell Place #1170, Nashville, TN 37204. The policy governs vectisworksco.com and every business email Vectis Works sends. References to "we", "our" or "us" point to Vectis Works.

Ending our emails

Answer any message from us and ask us to stop. Use whatever words you like. If someone from Vectis Works phones you, saying it on the call counts as well. We act quickly, and in every case inside 10 business days.

Once you opt out, we add you, by name and email address, to our do-not-contact records. That entry exists so nobody here gets in touch again, including when your details turn up later through some other source.

Who we write to, and how

Our emails go to people in manufacturing whose responsibilities connect with our services: leaders in operations, plants, engineering or IT, for example. The usual channel is a work email address. Once in a while the contact is a call to a business number, or a letter mailed to the business address. We only write when our work looks relevant to the company, and a request to stop ends it.

What we keep on file

• About you at work: your job title and name, the company you work for, your work email and business phone, and the address of your professional profile page, if there is one.
• About your company: where it is located, its size and industry, its website, its name and its business address.
• Public activity by the business: openings it has posted, coverage in the news, and posts it has published.
• Results of email checks: a note of whether a work address accepts mail, which keeps us from sending messages that bounce.
• Correspondence: messages you send us, plus notes we make about our conversations.
• Visits to this site: nothing here sets cookies, and no analytics tools run. The company hosting the site records ordinary technical logs, for instance the visitor's browser type and IP address, in order to serve the site and keep it safe. Google Fonts, which supplies the site's typeface, receives your IP address too.

Sensitive categories stay out of our records: no health details, no financial account numbers, no government ID numbers.

How the information reaches us

• Public places online: news sites, job boards, professional networking profiles and company websites.
• Commercial suppliers of data about companies and the people who work at them.
• You yourself, whenever you reply, send in a form or speak with someone here.

Purposes

• Deciding if our services might fit your company.
• Writing to you at work about what we offer.
• Testing whether an address will accept mail before we send.
• Replying when you write, and, on request, discussing or delivering our services.
• Maintaining the do-not-contact records that make opt-outs stick.
• Protecting our systems and complying with the law.

One more point: nothing in our emails tracks whether you opened them.

Who else receives it

Vectis Works never sells or rents personal information, never passes it to another company for that company's marketing, and never uses it for targeted advertising. It goes to three kinds of recipient only:

• Providers that work for us, meaning mailbox and email services, email verification tools, business data suppliers, and companies that host or store our data. Their use is limited to delivering their service to us.
• Authorities and others, when a law demands it, or to protect rights, property or safety.
• Whoever buys or succeeds our business, who must continue to protect the information in line with this policy.

Requests you can make

You may ask which details we have about you and their source, ask for corrections, or ask for deletion. Deletion removes everything except the single line in our do-not-contact records, because that line is what keeps your opt-out working.

Depending on your state, a privacy law, California's among them, may grant additional rights: a right to know, correct and delete, plus a right to opt out when information is sold or shared. Vectis Works does neither. Exercising a right will not change the way we treat you.

Requests can arrive as a reply to any email we sent, as a message through the vectisworks.com contact form, or as a letter to our office. To verify one, we may check with you which address received our email. Our answer comes inside the time limit that applicable law sets. Someone you have authorized can also submit a request for you.

Retention

Business contact details stay on file while they help us contact businesses. Entries that become outdated are refreshed or deleted. For clients, records are kept for the length of the work and for whatever period legal and accounting duties demand. A do-not-contact entry lasts as long as Vectis Works contacts businesses at all.

Security

Access is restricted to people who need the information for their work, backed by reasonable organizational and technical safeguards. No security is perfect, and we do not claim that ours is.

Where the data is handled

Our base is the United States, and the businesses we contact are there too. Processing happens in the United States and in any country where our service providers work.

People under 18

What we offer, and what we send, is aimed at businesses. Information about people younger than 18 is not something we knowingly collect.

Updates

Whenever this policy is revised, the effective date shown above changes to match.
